The MANAGE SUBSCRIBER Menu

The MANAGE SUBSCRIBER area is where you can see who is in your database.  You can add people, delete people, or change the data related to any person (subscriber).  There are 2 sub-menus which allow you to manipulate or change all necessary management information.
 
 

How Do We View Subscribers?

Click on the View Subscriber sub-menu.  The blank sign-up form with all Displayed Fields, Extra Sign-up Fields, Products and Categories will be displayed.  Note the checkbox labeled "Starting With Match" in the upper left right below the Basic Fields title.  Leave it unchecked for now. 

Scroll down to the bottom of the form.  Click on Search.  All the subscribers in the database will be displayed in alphabetical order.  See Step 1, L3 below.  There are 262 subscribers in the database.

Now check the Starting With Match box, and make sure all other checkboxes are unchecked.  Again, all subscribers will be displayed because there are no options to select from.  The combinations of checking the Starting With Match box and checking boxes in the Date Range, Category, and/or Products box allows us to sort subscribers.  Sorting is discussed later in this lesson.

 

How Do We Add Subscribers?

Click on the Add Subscriber sub-menu.  Fill in the appropriate information and click on Add Info.  The email address must be one of the fields entered. 

Include any related Category and Product information for each subscriber.  VeM sends emails to the address of record for each subscriber.  Be sure to select the correct email type - either HTML, HTML and Text, or Text only.  SMS messaging for text cell phones may be enabled as well.  To use SMS, subscribers must have entered a cell phone number and must have selected the SMS option in their data form. 

If you have pre-defined your Category and Productfields, all subscriber data may be imported to the VeM using an Excel spreadsheet that is ordered to match the form data fields.  This is very useful for when many subscribers are involved and the time to enter the data for each subscriber is prohibitive.  Another approach is to send each subscriber an Opt-in email asking them to enter their own data.

The Powerful Search Capabilities of the VIEW SUBSCRIBER Menu

The VIEW SUBSCRIBER menu can be used as a search function by checking or unchecking the Start With Match box.  Please note the text instructions at the bottom of the VIEW SUBSCRIBER page.  The Range Search function can be used in combination with the Start With Match check box.  We repeat the instructions below:
 
To locate specific target groups or customers, use the Search or the Range Search.
The Range Search is a complimentary avenue of searching:
Last Name First Name Company Province/State Postal Code/Zip.
Both features are not case-sensitive and so accept uppercase or lowercase letters.
In your Search, you can include or exclude the “Starting with match” option.
  • If included, it will only search on the first character of your input. For Example:
    Enter "a" in the First Name field. It will return first names which begin with an "a"; e.g. Andy, Ann.
  • If excluded, it will search through the entire string of your input. For Example:
    Enter "a" in the First Name field. It will return first names with an "a"; e.g. Andy, Paul, Marian.

    In your Range Search, separate the lower-end and the upper-end value with a dash “-“ symbol.
  • It will only search on the first character of your input. For Example:
    Enter "a - c" in the First Name field. It will return Andy, Bob, Cathy …etc; but not Jane because the letter “J” is out of the range and the letter “a” is not the first character.

    Read and understand the instructions in the table above.  While they are not very clearly stated, the search capabilities of the VeM are very powerful.  The best way to learn them is to experiment. 

    entering m-s in First Name with Start With Matchchecked will return 80 subscribers whose First Name begins with the letters m,n,o,p,q,r,or s.  Adding a t toLast Name box will return 3 records whose First Name begins with the letters m,n,o,p,q,r,or s and whose last name begins with t. 

    Similarly checking the Start With Match box, checking the Adult Committees box, and checking only the Church Council Productbox will return all Church Council members.

    Of course it is important to remember that if the Categories and Products are not associated with any email address, First Name, or Last Name, then no records will be returned.

     
     

    Exporting EMAIL LIST and Exporting USER DETAIL LIST

    The email contact list with sign-up dates may be exported to a csv file.  A csv file is a "comma separated value" file.  The csv file can be imported directly into spreadsheet programs like MS Excel. Click on the EXPORT EMAIL LIST menu, and then click on "download as csv" to view the file.  Go to File/Save As and name the file to save it to your hard drive. 

    Likewise you may export the EMAIL USER DETAIL LIST in a similar manner by clicking on the EXPORT EMAIL USER DETAIL LIST.
